Executive Assistant to the CEO
International medical charity
£35,000 full time or pro rata for part time – both options are available
Fulham based most days with some flexibility
Charity People is delighted to be working with a wonderful small international medical charity. The organisation providies life-changing craniofacial surgery to some of the world’s most disadvantaged and vulnerable children, with efforts being focused on Vietnam.
Your role as EA to the CEO will be integral to charitable activities and international programs and essential to the operational tasks of the CEO. This is your time to shine!
Job specification
The role will involve:
* Supporting the CEO (voluntary) to deliver across all three areas of the charity by managing;
o Detailed and complex outlook management – operating from a shared inbox
o Drafting and sending emails and letters to Vietnamese doctors, government officials and military personnel; UK and international donors, doctors and medical institutions
o Scheduling 2 fellows a month from Vietnam to the UK, Canada and USA – checking that visas and NHS documents are in place, making travel and accommodation reservations, organising training schedules (this is currently on pause due to COVID)
o Putting together travel itineraries to include transfers, visas, hotels etc. for missions
o Tracking all finances and costs for fellowships and missions
o Processing equipment purchases
* Office assistant duties including:
o Formatting documents in Excel and Word (spreadsheets, mail merges)
o Drafting and sending emails and managing diary using Outlook
o Creating and sending electronic newsletters using Mailchimp
o Website editing
o Assisting with writing funding / grant applications
o Invoicing and liaising with external suppliers
o Managing supplier contracts (rent, utilities, IT support etc)
o Drafting Trustee meeting agenda and minutes
o General office administration; filing, answering telephone, photocopying, etc.
o Ad hoc projects e.g. updating database of contacts, assisting with marketing material
To apply
* You need to have at least 3 years’ previous office-based experience, preferably in a PA / EA role or in a similar role
* You will be organised and an excellent communicator with good attention to detail
* You will be pro atcive and positive and have the ability to prioritise conflicting demands
* You need to be happy solo working as part of a small team and to work in the Fulham office at least some of the time
